This policy is drafted to reflect the Australian Privacy Principles and to address international users, including EU/UK residents, without claiming that every foreign law applies in every case.

  • Payment and transaction records. Full card details are generally handled by payment processors rather than stored by us.

  • Photographs, audio or video where appropriate consent or another lawful basis exists.
  • Sensitive information you choose to provide, such as health, accessibility, religious belief or spiritual-care information, where reasonably necessary for participation or pastoral care.
  • Child-related information and parental consent records where a minor is permitted to participate.

4. How we collect information

We collect information directly from you, from authorised representatives, through forms and platforms, during events or pastoral interactions, and automatically through website technologies. We may also receive limited information from payment, email, video-conferencing, learning-management, analytics and advertising providers.

5. Why we use information

  • To provide programs, ceremonies, memberships, events, pastoral support and customer service.
  • To process payments, donations, registrations, refunds and accounting records.
  • To communicate operational notices and, with appropriate consent or lawful basis, marketing.
  • To protect participants, children, systems, intellectual property and community safety.
  • To manage complaints, legal obligations, insurance and regulatory reporting.
  • To improve services, analyse usage and maintain website security.
  • To document consent and manage photographs, recordings and testimonials.

6. Sensitive information

We will not require unnecessary health or spiritual disclosure. Sensitive information will be collected only with consent or where another lawful basis applies, used for the stated purpose or a directly related purpose, protected with additional care, and disclosed only where reasonably necessary or legally required.

7. Direct marketing

We may send newsletters or promotional messages where permitted. You may unsubscribe using the link in a message or by contacting us. Service notices, receipts, safety notices and legal communications are not marketing and may still be sent.

8. Cookies, analytics and tracking

The website may use essential cookies, preference cookies, analytics and advertising technologies. Where required, non-essential tracking will be used only after consent. You can manage choices through the cookie banner and browser settings.

Third-party pixels can transmit information about website activity to the relevant provider. We will identify material providers in the Cookie Notice and avoid sending sensitive form content through advertising pixels.

9. Disclosure to service providers

We use reasonable administrative, technical and physical safeguards. No online system is completely secure. If an eligible data breach occurs, we will assess and notify affected individuals and regulators where required.

12. Retention and deletion

We retain information only as long as reasonably necessary for service delivery, legal, tax, charity, safeguarding, dispute and record-keeping purposes. Information that is no longer required will be securely deleted or de-identified where reasonably practicable.

13. Access, correction and complaints

You may request access to or correction of your personal information by channelingchurch@gmail.com We may verify identity and may refuse or limit access only where permitted by law. We will explain the reason where legally required.

Privacy complaints should first be sent to us. If unresolved and Australian privacy law applies, you may be able to complain to the Office of the Australian Information Commissioner.

14. Additional rights for EU/UK residents

Where the EU GDPR or UK GDPR applies to a particular processing activity, the lawful basis may include performance of a contract, consent, compliance with legal obligations, protection of vital interests, or legitimate interests that are not overridden by individual rights.

Subject to applicable conditions, individuals may have rights of access, correction, erasure, restriction, objection, portability and withdrawal of consent, and may complain to a local supervisory authority. Withdrawal of consent does not affect prior lawful processing.

15. Children

We do not knowingly collect information directly from children for unrestricted online participation. Where a program permits minors, we require appropriate parental or guardian involvement and apply the Church’s Child Safety Policy.

16. Changes

We may update this Policy. The current version will be posted with its effective date. Material changes will be communicated where reasonably appropriate.
